Office Manager

As the Office Manager, you will build relationships across the business and with external suppliers on a regular basis. The ideal candidate will be detail oriented and able to change priorities at a moment's notice. Two days are never the same. Our Office Manager will also provide support to the leadership team and other APAC employees as needed.

This role is based in Sydney.

In this role you will:

  • Be the go-to person for employees in the APAC region; provide general support to Auth0’s APAC offices (Singapore and Tokyo).
  • Serve as the point person for maintenance, mailing, ordering stationery, furniture, office equipment, food and drinks, supplies, and for visitors visiting the office. 
  • Monitor and coordinate office services, ensuring the maintenance and the condition of the office and arranging for necessary repairs.
  • Coordinate travel arrangements and organize office events, team offsites, meet ups etc. 
  • Provide general support to other departments including, but not limited to: Finance, HR and IT.
  • Be the face of the Sydney Auth0 office, greeting clients, candidates and other guests as they visit the office.
  • Coordinate the operations budget to run our Sydney office, running cost analyses, making recommendations on existing vendor services, and coordinating regular facilities safety checks.
  • Own and update facilities project list and improvements backlog.
  • Maintain the appearance of the office, including the cleanliness of general office areas, supply areas, and arranging for necessary repairs.
  • Meet with and understand contract terms and budgets for all facilities and other employee services related vendors (i.e., property managers, janitorial, food, maintenance, etc.).
  • Talk to the company! Own communications around office changes, events and improvements.
  • Partner with employees to design and execute events, including customer meetings, Meetups, training and special lunches.
  • Conduct space planning in partnership with Finance/HR to monitor headcount and support growth.
  • Provide general assistance to General Manager in APAC & VP of International (setting up all hands meetings etc.).
  • Identify critical gaps in our operations and assist on other duties as assigned.

HR & Finance and IT Duties:

  • Assist the financial department with various tasks, for example: scanning documents, creating expense reports, talking to local suppliers etc.
  • Assist finance and accounting with handling of vendor invoices and expenses. 
  • Assist with on-boarding, helping new hires familiarize themself with the Sydney office.
  • Support the HR department with potential necessary new hire paperwork etc.  
  • Help the IT departments with IT/AV orders in the region and other similar support.

Our ideal candidate will have:

  • 3+ years office management required, preferably in a fast paced tech environment. 
  • Have a very high level of attention to detail and ability to juggle multiple, conflicting priorities.
  • Strong organizational and time management skills and the ability to work with minimal supervision.
  • Excellent written and verbal communication skills.
